Description:
The University of Illinois seeks an Events Coordinator to work on planning and marketing events for the Research Park and EnterpriseWorks incubator. This position is responsible for coordinating event planning, including but not limited to operations, managing service providers, organizing setup and logistics for events, and marketing programs. This position will support the marketing and promotions work for the Research Park along with the Research Park Assistant Director.
Additional responsibilities include:
1. Coordinate with the Assistant Director and other Research Park staff on event topics and timelines.
2. Coordinate all service providers including food service, room reservations, and other needs.
3. Coordinate invitations, flyers, and registration processes.
4. Coordinate materials needed for all events (nametags, handouts, digital materials).
5. On-site event coordination: greet arrivals, attend to speaker details, and resolve operational issues
6. Coordinate all marketing materials, printing, and target distribution for events.
7. Identify interest groups and solicit attendees and co-presenters
8. Manage online event listings and promotions
9. Manage process for event capture (video, photo, social media) and post-event distribution.
10. Create follow-up correspondence and reporting of events metrics.
Qualifications:
A Bachelor’s degree in Marketing, Business, Communication, Public Relations or other field related to the position and two years of experience performing related duties and strong Project Management skills. Other requirements include: excellent interpersonal that reflect courtesy, diplomacy and a collaborative approach to develop and maintain effective relationships; excellent oral and written communication skills along with excellent customer service skills; ability to apply technology and innovation to improve efficiency and solve problems; excellent organizational skills and multi-tasking capabilities to meet stringent deadlines and produce accurate, detail-oriented work; ability to establish and maintain effective working relationships with colleagues, student interns, clients, and guests; proficient computer skills including
Microsoft Word, Powerpoint, Excel, Outlook, and Internet application and ability to work
independently and to exercise good judgment and discretion in the performance of all work assignments. Preferred skills include: experience in technology and entrepreneurship; knowledge of University of Illinois organizational structure; prior work experience in event planning including conference management, promotions and success building new event programs.
